Treasurer Update
Thank you everyone for your patience while I got our new Scout Account tracking system up, running, and balanced with your Scout’s financial accounts! I’m happy to say that we are finally live with the new system. Here’s some details about the system.
We are using a system called Troop Web Host. This is actually a pretty all-inclusive web host that is intended to be utilized for most functions of a Boy Scout Troop. It is essentially an alternative to Scoutbook. With that said, we will only be utilizing their “Money” feature for the time being. I analyzed a couple of options and it seemed to be the most straightforward for our needs.
The best part of this new system is that every parent will have access to log directly into the system and see your Scout’s account at any time. No more waiting for monthly statements – although if there is an interest, I believe I can still send out monthly statements with this system.
A few things to note with the new system:
- Currently I am keeping almost all Scout accounts combined into one account per family (with a few exceptions). If you have multiple Scouts in the Troop and/or want to keep your Adult account separate, please just let me know – it’s pretty simple to make this work.
- If there is a negative balance, it means you OWE the Troop that much money to make your account whole. Due to the long time it took for me to balance the accounts over the past year, we will not be expecting payments right away – however please be courteous and do what you can to ensure your account doesn’t get too far in the hole. We have a lot of large expenses coming up for big trips and need to ensure we have enough funds to cover the payments. In the (near?) future, we will be requesting accounts be made whole on a timely basis – and especially those attending Alaska or Sea Base – keep an eye on those payment schedules and try to get the money into the account before it’s actually due, if possible.
- Due to changes just prior to Covid at the National BSA level, we cannot utilize the funds in your Scout Accounts for anything not directly related to Scouting expenses. Of course this includes campouts, Summer Camps, any adventures Scouts attend which are sponsored by our (or another) Troop, etc. We cannot pay for things like sports, school adventures, etc. But please remember that any amount you DIRECTLY deposit into your Scout Account can in fact be refunded to you for any reason. The short of it is – if they fundraise for Scouts, that money has to be used for Scouts.
- We can take payments for your Scout accounts via Zelle (preferred as it’s the quickest, but not every bank supports this), check, or cash directly to me. If your bank supports Zelle, it seems you can connect to our account utilizing the email address. My bank asked for a first and last name as well – I used “Boy Scouts of America” and “Troop 640” but I don’t think it really mattered as the email was the important part. Just let me know if you have any issues setting that up.
- Reimbursement process hasn’t changed – the preferred process is to fill out the Reimbursement Request Form from the website and indicate if you want a direct payment back to you or to just credit your Scout’s account. Make sure to include the appropriate receipts.
- The new website is located at a different URL – this is now linked as a main menu item from our website – the direct link is: https://www.troopwebhost.org/Troop640Littleton/
- Earlier this past week I used their system to send out an account access/password reset link to everyone who does not have a $0 balance in the system. If you did not get this email or are having any issues or need me to change your email address(es), just email me at or see me at a meeting!
Sorry for the long message – I wanted to make sure to get this info out to everyone. Again, many apologies for the delay in getting this set up – hopefully we are now setup for success and ease!
